This role is ideal for a proactive, detail-oriented, and resourceful individual who thrives in a fast-paced, creative environment and has a passion for the entertainment industry. As an Executive Assistant, you will be instrumental in supporting the Directors of Casting by managing high-level administrative responsibilities, anticipating needs, and ensuring smooth, efficient daily operations.ResponsibilitiesProvide high-level administrative support including managing a dynamic calendar, coordinating meetings, and preparing for daily engagements Act as a trusted liaison between the two Directors of Casting and internal teams, talent representatives, and external partners Handle all communications with professionalism and discretion, including phone calls, emails, and written correspondence Coordinate domestic and international travel arrangements, including detailed itineraries and logistics Prepare and process expense reports in a timely manner Draft, edit, and format presentations, casting memos, and other documents with accuracy and polish Track deadlines and deliverables across multiple casting projects and ensure timely follow-up Support casting events, talent outreach, and internal presentations as needed Maintain confidentiality and handle sensitive information with integrity Provide general office support to the Casting team, including managing supplies and coordinating with facilities as needed Basic Qualifications1+ years of administrative support experience, ideally in talent representation and/or casting for film, television, agency, or theater, with successful project outcomes Strong interpersonal skills and the ability to build rapport with leaders, talent, and partners Deep understanding of the entertainment industry, including trends, challenges, and opportunities Excellent verbal and written communication skills High attention to detail and accuracy in all tasks Proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook) Ability to manage multiple priorities in a fast-paced, deadline-driven environment Sound judgment and discretion in handling confidential matters Self-starter with a proactive mindset and strong organizational skills Preferred Qualifications2+ years of experience on a high-volume desk Experience using Concur, SAP, Workday systems, Airtable, and Zoom Familiarity with IMDB, Studio System, PIX, CastIt, and FastCapture Required EducationBachelor’s degree or equivalent work experienceThe hiring range for this position in Burbank, CA is $49,200 to $66,000 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors.
